Workflow automation

Workflow automation that keeps enquiries moving.

Connect the tools you already use so enquiries are logged, routed and followed up automatically, without retyping and without relying on someone’s memory.

The problem

Every hand-off loses time and detail.

An enquiry arrives by phone and goes on a notepad. It is retyped into WhatsApp, forwarded to a colleague and maybe added to a spreadsheet later. Each step takes time and drops a detail.

Follow-ups happen when someone remembers. When the business is busy, which is exactly when enquiries arrive, they are the first thing to slip.

How it works

Trigger, capture, route, record, follow up.

We automate a process that already works on paper. Automating a broken process just makes it fail faster.

  1. 01

    Trigger

Something happens: a form is submitted, a chat ends, a call summary arrives or an email comes in.

  2. 02

    Capture

The details are pulled into consistent fields, such as name, contact, service, urgency and notes.

  3. 03

    Route

Rules you agree decide who handles it, for example by service type, urgency or area.

  4. 04

    Record

It is logged where your team already works: a spreadsheet, CRM or job system.

  5. 05

    Follow up

Confirmations, reminders and escalations are sent on schedule, and anything left untouched is flagged.

Who it helps

Teams that retype, forward and chase.

Typical flows we design for service businesses:

  • New enquiry

Logged in your sheet, the right person notified and a confirmation sent to the customer.

  • Missed call follow-up

A prompt for your team to call back, or an approved message to the caller where platform rules and consent allow.

  • Daily open-enquiries digest

One morning summary of what came in, who has it and what is still waiting.

  • Status updates

Reminders to update customers at the stages you choose, so they do not have to phone and ask.

Setup

What setting it up involves.

We start with what you already use. New software is a last resort, not a starting point.

  1. Map the current process

We trace how an enquiry moves today, who touches it and where it stalls.

  2. Design the flow

We agree triggers, routing rules and what happens when a step fails.

  3. Build with test data

Flows are built and tested with made-up records, never live customer data.

  4. Parallel run

The automation runs alongside your current process until you trust its output.

  5. Go live and document

After your sign-off it takes over. You receive documentation of every flow and who to call.

Limits and dependencies

What to know before you start.

Good systems are honest about their edges. These are the ones that matter for this service.

  • Automations depend on what each tool allows. Some systems have no integration options, or charge extra for them.
  • If a connected service changes or goes down, a step can fail. We build in alerts and fallbacks so failures are visible, not silent.
  • Automated messages to customers must follow each platform’s rules, such as WhatsApp Business policies, and the customer’s consent.
  • Automation platforms and some integrations carry subscription costs, listed in your quote.
  • Credentials for connected tools stay in each platform’s secure storage, with the narrowest access each step needs.

Questions

Workflow automation: common questions.

Which tools can you connect?

Commonly email, Google Workspace or Microsoft 365, calendars, spreadsheets, WhatsApp Business through approved providers, and many CRMs and job systems with an API. We confirm each one before quoting.

Which automation platform do you build on?

Usually n8n, which can run in the cloud or on a server you control. Devincam’s own website form is built to deliver enquiries to an n8n workflow. If your business already uses another automation tool, we check whether it can do the job before recommending a change.

What happens when something breaks?

Flows are built with error alerts and a fallback path, so a failure is noticed rather than lost. Support terms are agreed in your quote.

Do I need to buy new software?

Often not. We start with the tools you already pay for and recommend something new only when it clearly earns its cost.

Is my data safe?

Each step gets only the access it needs, credentials are kept in each platform’s secure storage, and we agree with you where data lives and for how long.
