For panel beaters and collision repair

Capture new-damage enquiries, even when the workshop is flat out.

An AI receptionist, website chatbot and simple automations that answer the calls your team can’t get to, collect the details your estimator needs, and route each enquiry to the right desk.

Sound familiar?

Six ways enquiries slip through, and what helps.

  1. 01

Staff are busy when the phone rings

Your estimator is walking a customer round a car and the workshop is loud. The call rings out, and the caller may try the next panel shop on the list.

    What helps: AI voice agents

An AI receptionist answers after the number of rings you choose, and takes the caller’s details and reason for calling.

Example: after four rings the assistant answers, notes “new damage, 2021 Polo, front bumper” and the estimator gets the summary.

  2. 02

    Calls arrive after hours

Accidents happen in the evening and over weekends. People call when it happens, not when your front desk opens.

    What helps: AI voice agents

Outside business hours the receptionist explains when the team is back and takes everything they will need.

Example: a 19:40 caller hears that the workshop opens at 07:30 and the estimator starts the day with the full enquiry.

  3. 03

    The same questions, all day

“Do you work with my insurer?” “Where are you?” “What happens next?” Each one pulls someone off the job.

    What helps: AI chatbots

A website chatbot answers from the information you approve, at any hour, and hands over when a person is needed.

Example: “Do you work with my insurer?” is answered from the list you supply. Anything not on it goes to your team.

  4. 04

    Important details are missing

A message saying “call me about my car” means extra calls before anyone knows the vehicle, the damage or whether it is an insurance job.

    What helps: AI voice agents

The receptionist asks your intake questions every time and reads key details back to the caller to confirm.

Example: every new-damage summary includes vehicle, damage, driveable or tow, insurance or private, and a callback time.

  5. 05

    Enquiries need the right person

New damage needs an estimator, claims need admin and status calls need the workshop. Without routing, everything lands on whoever answered.

    What helps: Workflow automation

Automation sends each enquiry to the right person, by email, WhatsApp or the system you already use.

Example: new damage → estimator; assessor and insurer messages → claims admin; “is my car ready?” → workshop manager.

  6. 06

    Follow-up is inconsistent

Messages on paper or in one person’s WhatsApp wait until somebody has a moment, and by then the customer may have booked elsewhere.

    What helps: Workflow automation

Every enquiry is logged, and anything without a reply after the time you set is flagged.

Example: any new-damage enquiry without a callback by 10:00 is flagged to the workshop manager.

Sample call

Read an after-hours call, start to finish.

A scripted example with made-up details. It shows the caller explaining, the receptionist asking the workshop’s questions, and the summary your estimator would receive.

  1. AI receptionist

Good evening, you’ve reached the workshop’s virtual assistant. The team has left for the day, but I can take your details so they can help you first thing tomorrow. What happened?

  2. Caller

Someone reversed into me at the shops. The back bumper is cracked and the boot won’t close properly.

  3. AI receptionist

I’m sorry to hear that. Is the car safe to drive, or do you need it towed?

  4. Caller

    It’s driveable, no tow needed.

  5. AI receptionist

Will this go through insurance, or will you be paying privately?

  6. Caller

Insurance. I’ve already got a claim number.

  7. AI receptionist

Thank you. What’s the make, model and year, and when is a good time for the estimator to call you back?

  8. Caller

2019 Toyota Corolla. Any time before ten tomorrow.

  9. AI receptionist

Got it: a 2019 Corolla, rear bumper and boot, driveable, insurance claim, callback before ten. I’ll send you a WhatsApp link to share photos of the damage.

Missed-call opportunity calculator

What could missed calls be worth to you?

Use your own estimates. The result is a hypothetical gross job value, not measured losses, profit or guaranteed recovered revenue.

Formula: missed calls per week × share you think would become jobs × average job value.

Calculated in your browser. Nothing you type here is sent anywhere.

The interactive calculator needs JavaScript. The formula beside it works with a pen and paper too.

Honest expectations

It captures the enquiry. Your team still wins the job.

Results depend on how the system is configured, how many calls you get, how customers behave and, above all, how quickly your team follows up. These are not part of a default setup, and are added only once configured and tested:

  • Booking into your calendar. A default setup takes a preferred time. Live booking needs a calendar or booking system it can connect to.
  • Looking up job status. Answering “is my car ready?” automatically needs a connection to wherever you track jobs.
  • Calculating quotes. Quotes stay with your estimator after they have seen the damage.
  • Transferring calls to a person. Live transfer depends on your phone system. Otherwise urgent calls are flagged in the summary.
  • Insurance advice. It never says whether a claim will be approved.
  • Pretending to be a person. It introduces itself as the workshop’s virtual assistant.

Getting started

Four steps, and you approve each one.

  1. 01

    Discovery call

We map how enquiries reach you today (calls, WhatsApp, walk-ins and your website) and where they get stuck.

  2. 02

    Design

We agree what the system says, what it collects, what it must never do, and when a person takes over.

  3. 03

    Build and test

We configure it on your approved information and test it against realistic scenarios before any customer sees or hears it.

  4. 04

    Launch and refine

It goes live only with your sign-off. We then review what comes in and adjust questions, answers and routing.

Questions

Questions from panel beaters.

Can it tell customers whether their car is ready?

Not in a default setup. It takes the request, captures the vehicle and registration, and passes it to the right person to call back. Automatic status answers need a connection to wherever you track jobs, configured and tested first.

Can customers send photos of the damage?

Yes. The assistant can send the caller a WhatsApp or web link for photos, so your estimator sees the damage before calling back. The exact setup depends on the tools you use.

Will it deal with insurers and assessors?

It takes their messages and routes them to whoever handles claims. It does not negotiate, approve or advise on claims.

Can it put urgent calls straight through to me?

Live transfer depends on your phone system and is only switched on once configured and tested. Until then, urgent calls are flagged at the top of the summary so you can call back first.

We are a small shop. Is it worth it?

It depends on how many calls you miss and what a typical job is worth to you. Try the calculator above with your own estimates, then we can look at the real numbers together. If it does not make sense yet, we will say so.

Do we need a new website as well?

Not necessarily. A voice agent or chatbot works with your current site and phone line. We will tell you honestly if your website is holding you back.
