AI voice agents
An AI receptionist that answers when your team can’t.
A virtual receptionist for your business line. It answers calls, collects the details your team needs and routes each caller to the right person, during busy hours, after hours or both.
The problem
The people who answer the phone are also doing the work.
In most service businesses, calls go unanswered not because nobody cares, but because the person nearest the phone is with a customer, on the workshop floor or already on another call.
Voicemail rarely solves it. Many callers hang up without leaving a message, and the messages that are left often lack a number, a name or the reason for the call. By the time someone calls back, the customer may have moved on.
How it works
From ring to written summary.
You choose when the agent takes calls. Everything it says and collects is agreed with you first.
- 01
A call comes in
Calls reach the agent when you choose: always, after a few rings, when the line is busy, or outside business hours.
- 02
It answers and listens
The agent introduces itself as a virtual assistant and follows a conversation flow designed for your business.
- 03
It collects the essentials
Name, callback number, reason for calling and the specific details you need, read back to the caller to confirm.
- 04
It routes the enquiry
A written summary goes to the right person, with urgent calls flagged at the top. Live transfer to a person can be added where your phone system supports it, once configured and tested.
- 05
You stay informed
Summaries show you what came in and what was asked. Whether calls are recorded or transcribed is your decision, and callers must be told.
Who it helps
Businesses where a missed call is a missed job.
It suits businesses with steady inbound calls and a small team that cannot always pick up.
Panel beaters and collision repair
New-damage enquiries, insurance and assessor calls, and “is my car ready?” questions, captured and routed.
Automotive service centres
Service booking requests and quote questions taken while technicians are busy.
HVAC and refrigeration contractors
Breakdown calls triaged by urgency, with site and equipment details captured for the technician.
Dental and medical practices
Appointment and callback requests handled after hours. The agent does not give clinical advice.

Setup
What setting it up involves.
Your existing number usually stays the same. Exact options depend on your telephone provider.
Discovery
We look at your call types, rough volumes, what your team needs from each call and when a person must take over.
Script and knowledge
We write the conversation flow and approved answers with you, including what the agent must never say.
Telephony
Calls are typically forwarded from your current number to the voice platform. We confirm what your provider supports first.
Testing
We run realistic test calls, including background noise, unclear answers and edge cases, before any customer hears it.
Go-live and review
It goes live with your sign-off. We then review real summaries with you and adjust the flow.
Limits and dependencies
What to know before you start.
Good systems are honest about their edges. These are the ones that matter for this service.
- Speech recognition can struggle with poor lines, loud background noise and some names. Key details are read back to the caller to reduce errors.
- It should not give quotes, diagnoses, or insurance, legal or medical advice unless you have explicitly approved the wording.
- Telephone numbers, call minutes and AI usage carry running costs billed by the platforms involved. We estimate these with you up front.
- Call forwarding and transfer options depend on your telephone provider and plan.
- English is the default. If many of your callers prefer another language, we test what the platform supports before recommending it.
- Call recordings and transcripts are personal information. Callers must be informed, and storage and access are agreed with you.
Questions
AI voice agents: common questions.
Can I keep my existing business number?
Usually, yes. Calls are typically forwarded from your existing number to the agent. We confirm what your telephone provider supports before setup.
Can it transfer a call to a real person?
Not in a default setup. Live transfer depends on your phone system and is switched on only after it has been configured and tested. Until then, urgent calls are flagged at the top of the summary so someone can call back first.
Will it sound robotic?
Current AI voices sound natural, but it is still an AI and should say so. You can hear voice options during your demo and choose the one that suits your business.
Can it book appointments?
A default setup takes a preferred date and time. Offering live available slots needs a calendar or booking system it can connect to, configured and tested first. We check what yours supports during discovery.
What happens if the AI service is down?
We set up a fallback, such as forwarding to voicemail or another number, so callers are not left hanging. The exact fallback depends on your telephony setup.
